Email Writing Format

 

Email also known as electronic mail which refers to the messages distributed by electronic means from one computer user to another via a network. It is one of the most preferred ways of communication because it is cheaper and faster.

Email Writing  is the method of composing, sending, storing and receiving messages over electronic communication systems.

 

 

Emails can be categorised into two types:

 

Formal Emails - A formal email can be written to companies,government

departments,offices, school principals or teachers.

 

Informal Emails - An informal email can be written to families, relatives and friends.


 

Format

 

E-mail messages consist of two major sections:

 

  • Header - Here the  subject, sender, receiver, date and time are mentioned.

  • Body -  It contains the message. It can be formal/informal letter depending on the purpose

 

Tips on composing Emails:

 

Subject

 

  • It should be brief

  • It should give a clue to the content of the message

  • It need not be a complete sentence

 

   Salutation - Here one should address the receiver by Dear Sir/Madam/first name of the

                       person depending on the type email.

   

  Opening Statement-Begin with a pleasantry or greeting.

 

  Paragraphs -Each main idea should be in a separate paragraph.Use complete sentences. Do 

                       not use SMS language.

 Write an email for resignation.

 

To: Sunirmehta@gmail.com

 

CC/BCC:

 

Subject: Resignation Letter

 

Dear Sir,

 

Please accept this mail as a notice that I am leaving my position with this organization. As per the norm of the company I’ve to give a month's notice before resigning. I hope you will get a good replacement for me within this time period.

I really appreciate the opportunities that I have been given to me to help me grow. Wish you and the company the best in the future.

Please let me know what to expect as far as my final work schedule and the employee benefits. Please let me know in case of any assistance for the above.
